Booking Terms and Conditions

1. General

Kvin Oy (Business ID 2544016-8), operating under the trade name Frijavillas, applies these Booking Terms and Conditions to the rental of its holiday properties. Frijavillas (hereinafter referred to as the “Host”) applies these booking and cancellation terms to all accommodation reservations, rentals, and cancellations made through its service for Villa Alveus (Ylläs), Chalet Auroras (Levi), and Suite Portus (Hanko).

These terms become binding on both parties once the person making the reservation (hereinafter referred to as the “Guest”) has made a booking for a property managed by Frijavillas.

To make a reservation, the Guest must be at least 18 years of age and have the legal capacity to enter into a binding contract.

2. Booking and Confirmation

  • A booking becomes binding once the Guest has made a reservation through the Frijavillas booking system and received confirmation by email.
  • The Guest is responsible for providing accurate personal information (name, contact details, number of guests).

3. Payment Terms

  • Deposit: 30% of the total rental price is due at the time of booking.
  • Final payment: 70% must be paid no later than 30 days prior to arrival.
  • Late bookings: For reservations made less than 30 days before arrival, the full amount is due immediately.

Payment Processing. Payments are processed by Stripe Payments Europe, Ltd., an authorized payment institution. Stripe will appear as the recipient on your bank statement or credit card bill and will forward the payment to the Host.

4. Changes to Reservation

The Guest may request changes to reservation dates. Changes are not possible if 30 days or fewer remain before the start of the reservation. Changes may affect the price depending on seasonal rates.

5. Cancellation Policy

Cancellations must be made in writing by email to info@frijavillas.fi.

  • If cancelled 30 days or more before arrival, payments are refunded minus a €100 handling fee.
  • If cancelled less than 30 days before arrival, no refund will be issued.
  • Non-refundable bookings are not eligible for any refund regardless of timing.
  • If the Guest does not arrive (no-show), no refund will be given.

Special Note on Epidemics and Pandemics. These cancellation terms also apply during epidemics or pandemics, including possible travel restrictions. By making a reservation, the Guest acknowledges that airlines may cancel or reschedule flights due to such circumstances. This is not considered a force majeure event, as it is foreseeable. We strongly recommend comprehensive travel insurance.

6. Host’s Right to Cancel

The Host may cancel the reservation in the following cases:

  • Force majeure: In the event of unforeseeable circumstances, the Host may cancel the reservation. The Guest will be refunded in full, but the Host is not liable for additional expenses, losses, or damages.
  • Double booking: If two reservations are made for the same property and dates, the reservation made first will remain valid. The later booking will be cancelled and fully refunded.
  • Pricing errors: If the listed price clearly differs from the intended correct price, the Host reserves the right to void the booking. The Guest may be offered the correct rate as an alternative.

In all cases of cancellation by the Host, the Guest will be informed immediately and refunded promptly. The Host has no obligation to arrange alternative accommodation.

7. Included in the Rental Price

The rental price includes:

  • Use of the property, furniture, and equipment
  • Bed linen with beds made, one bath and hand towel per person, and final cleaning
  • Normal energy costs (electricity, heating, water)
  • Cooking and dining utensils, cutlery, mattresses, blankets, and pillows
  • Basic supplies: toilet paper, paper towels, a kitchen towel, hand soap, dishwashing liquid, dishwasher tablets, shampoo, conditioner, and body wash

8. Guest Responsibilities

  • The property is for the use of the Guest and their registered party only. The maximum occupancy of the property may not exceed the number of persons stated in the property description. The number of overnight guests may not exceed the number stated in the booking, as bed linen and towels are provided only for the booked number of guests.
  • Loud parties and loud music are prohibited. The Guest must not cause disturbance to neighbors. Quite hours are between 22:00 and 07:00.
  • All Frijavillas properties are allergy-friendly: smoking, vaping, and pets are strictly prohibited indoors and on glazed balconies.
  • If smoking is detected, the Host reserves the right to charge for deep cleaning and deodorization.
  • Outdoor shoes (including ski boots) must not be worn indoors.
  • Skis and snowboards must be stored in designated storage areas, not inside the property or the common hallways.
  • If the Guest causes a false fire alarm, the Guest will be charged the full cost invoiced by authorities.
  • Tents, caravans, trailers, and rented outdoor equipment (e.g., hot tubs) are not permitted on the property grounds.
  • Subletting is strictly prohibited.

Tidiness Before Departure: Although final cleaning is included, the Guest must ensure basic tidiness by:

  • Washing dirty dishes or placing them in the dishwasher
  • Taking out the garbage
  • Locking all doors and windows
  • Emptying the refrigerator
  • Taking all personal belongings and leftover food

If the property is left excessively dirty, an additional cleaning fee will be charged based on extra hours required. The Host is not responsible for items left behind.

9. Complaints

Any defects or deficiencies must be reported to the Host without undue delay during the stay so that corrective measures can be taken. Complaints made only after departure will not be accepted. Some disturbances are beyond the Host’s control (e.g., weather, construction noise, nearby activities).

10. Liability

The Guest is liable for damages caused to the property, contents, or building by themselves or their party. The Guest must fully compensate the Host for all damages. The Host is not liable for interruptions or inconveniences due to force majeure (e.g., storms, power outages, official restrictions).The Host is not responsible for loss or damage to the Guest’s personal belongings. The Guest is advised to arrange their own travel insurance to cover personal property.

11. Inspection

The Host has the right to access the property during the stay with prior notice to ensure compliance with these terms.

12. Arrival and Departure

All Frijavillas properties use self check-in with a personal entry code. The code is valid from the check-in time on the arrival date until the check-out time on the departure date. Check-in: from 16:00 (unless otherwise agreed). Check-out: by 11:00 (unless otherwise agreed). Entry codes are personal and must not be shared with third parties.

13. Prohibited Activities

The Guest shall use the property only for residential purposes and must not conduct commercial activity on the premises. Any illegal activity will result in immediate termination of the stay with no refund.

14. Attorney’s Fees

The Guest agrees to reimburse the Host for any reasonable legal costs, attorney’s fees, and expenses incurred in enforcing these terms.

15. Governing Law

These terms are governed by Finnish law.

Disputes will be settled primarily through negotiation. If unresolved, disputes shall be handled by the District Court of the Host’s domicile (Helsinki District Court).
